Direct mail calendar: when to send postcards for every local business
Prices and rules checked October 2026.
The best time to send postcards is 1 to 3 weeks before your customers start thinking about the job. A lawn care card should land before the first mow. A church card should land 7 to 14 days before Easter. EDDM takes 3 to 10 business days to deliver, so order about 2 to 3 weeks before the day you want cards in homes. The month-by-month direct mail calendar below shows when each kind of local business usually mails.
Why timing matters more than design
A postcard does one job: it puts your name in front of a household at the moment they need you. A great card that lands after they hired someone else is wasted. A plain card that lands the week their AC breaks gets the call.
So plan the calendar first. Then write the card.
How to work back from the in-home date
Start with the day you want the card in mailboxes. Then count back in business days:
- USPS delivery: EDDM arrives 3 to 10 business days after the drop. Plan on 10, so you are never late.
- Print and drop: we print and drop within 3 business days after you approve the proof.
- Proof: you get it within 1 business day of ordering.
Worked example. You want cards in homes by Friday the 20th. Ten business days earlier is Friday the 6th, so the cards must be dropped by then. Three business days before that is Tuesday the 3rd, the last day to approve the proof. Order by Monday the 2nd. If a federal holiday falls in that window, add a day.
Retail EDDM takes up to 5,000 pieces per ZIP Code per day, so a very large mailing may need two drop days. Plan that in too.

Timing by trade
- Real estate: a just listed card within a week of the listing, a just sold card about 30 days later, and farm cards the same week every month. See real estate postcards.
- Churches: Easter cards land 7 to 14 days before. Christmas Eve cards land in early December. See church postcards.
- Lawn care and landscaping: spring sign-ups 3 to 4 weeks before the first cut, then fall cleanup. See landscaping postcards.
- HVAC: AC tune-ups a few weeks before the heat, heating checks before the first cold snap. See HVAC postcards.
- Dental: January, back to school, and September to December for year-end benefits, plus a steady monthly card. See dental postcards.
- Restaurants: any month, with an offer that ends on a set date at least 30 days out. See restaurant postcards.
- Political: work back from early voting and election day, 3 to 5 cards. See political mailers.
How often to mail the same homes
One card rarely does it. People need to see a name a few times before they call. A simple plan for most local businesses:
- Seasonal trades: two or three cards before and during the season, to the same routes.
- Year-round trades: one card a month to the routes closest to you.
- One-time events: two cards, about 2 weeks apart, ending just before the event.
Mailing the same homes again costs the same per home, and the second card builds on the first.
Put it on your calendar now
Pick your two or three most important months. Count back with the steps above. Put the order date on your calendar. Then plan the routes once, and reuse them every time.
